Terms and Conditions

01. General Terms

All service prices are listed in Vietnam Dong (VND) and US Dollars. The service charges explicitly detailed in the 'Include' section for tours, car service, airfare, and hotel are part of the terms and conditions set by Vietventures Co., Ltd. This Vietnam travel agency holds no obligation to cover costs that are not specified in the 'Include' section.

02. Payment

Upon registration, please provide complete information and pay a deposit to secure your place. 

- Online payment is available via bank transfer. 

- Payment can also be made in cash upon arrival in Vietnam.

Payment is considered complete once Vietventures Travel Agency Vietnam has received full payment prior to departure or based on the contractual agreement between the two parties. Any delays in payment that lead to service cancellations are not the responsibility of Vietventures Co., Ltd.

For transfer payments: When making the payment, please include your name, address, phone number, and specifics about the travel experiences you registered for.

Once the transfer is made, please notify our staff to receive your official tour tickets from Vietventures Co., Ltd.

Vietventures Co., Ltd will not address cases where the system automatically cancels the registration form if these provisions are not followed.

03. Cancellation Conditions and Fees

a. In the case of cancellation by Vietventures Co., Ltd: If the tour cannot proceed, Vietventures Co., Ltd must immediately inform the customers, who will receive a full refund of all payments made within three days from the date of cancellation, either by cash or bank transfer.

b. In the case of cancellation by the customer:

For multi-day tour packages:

Cancellation 30 days prior: 10% of the tour price

Cancellation 20 days prior: 20% of the tour price

Cancellation 15 days prior: 30% of the tour price

Cancellation 7 days prior: 40% of the tour price

Cancellation 3 days prior: 75% of the tour price

Cancellation less than 3 days: 100% of the tour price

For day tour packages:

Cancellation 7 days prior: 10% of the tour price

Cancellation 4 days prior: 30% of the tour price

Cancellation 1 day prior: 50% of the tour price

Cancellation less than 24 hours: 100% of the tour price

Cancellation notifications must be made directly to the company or via fax or email, and must be confirmed by the company. Cancellations made by telephone will not be accepted.

Note:

- In cases of cancellation due to incidents such as natural disasters, terrorism, or epidemics, Vietventures Co., Ltd will not be liable for any costs other than the tour reimbursement.

- The fees mentioned are the maximum cancellation fees, which may be reduced depending on the conditions of each service provider for Vietventures Co., Ltd.

- The cancellation period is calculated in working days (excluding weekends and holidays).

- Cancellation conditions do not apply during the Tet holiday period.

c. In cases of force majeure: 

If the tour is canceled or modified due to force majeure events (such as war, natural disasters, or terrorism), neither party will be obligated to reimburse losses incurred and will not assume any liability. However, both parties are responsible for doing their utmost to assist affected individuals to minimize losses caused by force majeure situations.

04. Prices for Children

- Children under 2 years old: Pay 30% of the adult fare.

- Children aged 2-12 years: Pay 75% of the adult fare (this may depend on the airline's policies).

Note:

+ Travel fares do not include taxes or the cost of a private bed.

+ One child is allowed per two adult companions.

+ If there is a second child, the child will be charged the adult price for an additional bed and breakfast.

05. Special Requirements

Customers with special requests must inform Vietventures Co., Ltd at the time of registration. The travel agency will strive to accommodate these requests but is not responsible for any denials by service providers, such as airlines, hotels, and independent contractors.

06. Hotels

The accommodation options provided are typically based on a room with either two single beds (TWIN) or a double bed (DBL), depending on the hotel's room configuration. A triple room may be arranged if necessary. Hotels selected by Vietventures Co., Ltd are based on the corresponding standards of the quoted tour prices. If a change is required for any reason, the substitute accommodation will match the standard of the original property and will be communicated to guests prior to departure. Special requests will be accommodated as long as the hotel is able to fulfill them, although extra charges may be incurred where applicable. Vietventures Co., Ltd reserves the right to decline requests if the hotel does not provide the service.

07. Transportation

Transportation types are determined by the travel itinerary.

Vietventures Co., Ltd will provide modern vehicles, including cars or buses (ranging from 4 to 45 seats) based on the group size during the tour.

For programs involving trains, planes, or hydrofoils, service providers may change departure times without notice. Vietventures Co., Ltd will notify customers of any changes in travel plans where time permits. The agency is not liable for reimbursement or losses caused by delays in public transport departures or those caused by passenger error. Vietventures Co., Ltd will assist clients in minimizing any losses incurred.

08. Baggage

Light luggage is advised, and for programs utilizing air services, baggage allowances will follow the airlines' regulations.

Vietventures Co., Ltd is not responsible for lost or damaged luggage or other personal items during the trip. Travelers must take care of their belongings. In cases of lost luggage, the agency will assist passengers in contacting the relevant authorities to report and recover lost baggage. Compensation for lost items will adhere to the rules of the service providers or insurance providers involved.

09. Receiving Tour Information

Before registration, customers should thoroughly read the program details and ticket prices, including items not covered in the program. Customers may register and pay at the ticket office directly or through a representative of Vietventures Co., Ltd. The agency is only responsible for providing information about trips to those customers who have registered directly or through an authorized representative. Vietventures Co., Ltd does not accept liability if representatives fail to provide accurate information regarding customer journeys.

10. Responsibilities and Other Commitments

a. On behalf of Vietventures Co., Ltd:

- Ensure all services are delivered in accordance with the program.

- Provide complete necessary information regarding rules when traveling domestically and internationally before departure.

- For foreign travel programs, the agency is not responsible for entry refusals by relevant authorities. All costs arising from denial of entry, including cancellation fees from service providers, will be borne by the customers.

b. On the client side:

- Ensure full and timely payment.

- Abide by the travel schedule as per the program.

- Provide required passport, photographs, and documents related to immigration procedures accurately.

- Follow the laws and regulations of the visiting country. Vietventures Co., Ltd bears no legal or financial responsibility should customers violate laws or regulations; customers will be liable for all arising costs associated with such breaches. The agency will assist in minimizing clients' losses in such situations.

c. Depending on circumstances, Vietventures Co., Ltd reserves the right to alter routes, rearrange point of interest itineraries, or cancel trips whenever deemed necessary for the convenience and safety of customers.

d. In the event of disputes arising during implementation, resolution attempts will be based on negotiation. If unsuccessful, the matter will be directed to the courts in accordance with prevailing laws, with all costs incurred to be borne by the losing party.
